The Global Fund
The Global Fund to Fight AIDS, Tuberculosis and Malaria is a global public/private partnership dedicated to raising and disbursing large amounts of additional finance to prevent and treat the three pandemics. The Global Fund has so far committed more than US$10 billion to over 520 programs in 136 countries.
The vacancy is in the Secretariat of the Global Fund. The Secretariat manages the grant portfolio, including executing Board policies, disbursing money to grant recipients and implementing performance-based funding of grants. The Secretariat is also tasked with resource mobilization; providing strategic, policy, financial, legal and administrative support and overseeing monitoring and evaluation. It is based in Geneva and has no staff located outside its headquarters.

Role Summary & Key results expected
Under the general supervision of Director of the Partnerships, Communications and Resources Mobilization Cluster, and seated in the team of the Director’s Office, the Assistant provides a range of administrative support services to the Office team and to different teams in the Cluster’s on a ad-hoc basis in a fast-growing environment.
Key Responsibilities
and Accountabilities
The assistant will:
Receive and distribute mail, correspondence and documents and track and record action taken;
Prepare material for meetings and attend meetings taking notes and preparing minutes and records of decisions;
Maintain the unit’s information storage and retrieval ensuring appropriate records, cross-referencing, levels of access and confidentiality;
Organize travel and related logistics (hotel, per diem etc.) for team members and external consultants;
Prepare draft contracts for individuals or companies reflecting work and travel requirements and estimating costs; follow up implementation once approved;
Schedule, and confirm appointments, meetings etc. for team members;
Review outgoing correspondence editing as appropriate to ensure correct spelling, grammar, formatting, and style; draft administrative correspondence and keep records of actions taken;
Liaise with staff in and outside the unit but internal to the Global Fund to promote information exchange and cooperation; and,
Perform other duties as required.
PERSON SPECIFICATION
Qualifications and Membership
Essential:
Completion of secondary school or technical or commercial school or equivalent.
Desirable:
Professional secretarial training from a recognized institution.
Experience
Essential:
Three to four years of secretarial / administrative experience.
Desirable:
Work experience in an international and multicultural organization desirable.
Technical skills and competencies
Skills:
Proficiency with Microsoft Outlook and Word with knowledge of Excel and PowerPoint desirable;
Diplomacy in dealing with people;
Ability to handle a high volume of work and respond to short deadlines.

CONDITIONS OF CONTRACT
THE POSITION will have a competitive compensation package net of tax. The position would correspond to G.4 in the UN system. The person selected for this position will be appointed for a period of six months.
The current arrangement under which Global Fund Secretariat employees have the status of WHO staff will terminate on 31 December 2008. After that date, all staff of the Global Fund will be covered under a new contractual arrangement directly with the Global Fund.
